NDIS clients: payer, agreed rate and invoices

Updated For owners, office and finance

For NDIS clients, invoices go to the plan manager or nominated payer, show the support item and NDIS number, and are GST-free. Hours on the invoice are the quoted price ÷ the client's agreed hourly rate.

Set up the payer

  1. Open the client → Billing → Payer details → Edit billing profile.
  2. Enter the plan manager (or nominee) name, Billing contact, Billing email, phone and address.
  3. Enter the participant's NDIS number: 9 digits starting with 43 (spaces are fine). Anything else is refused.
  4. Choose Save billing profile.

Set the agreed rate and invoice defaults

  1. Still under Payer details, choose Edit invoice defaults.
  2. Set Invoice type to NDIS support, check the Invoice description and Support item (for example 01_020_0120_1_1, house cleaning).
  3. Enter the Agreed hourly rate ($) from the participant's service agreement. The worked example updates as you type, for example "$100.00 quoted ÷ $50.00 agreed rate = 2 hours".
  4. A rate above the NDIS price limit is refused, with the limit shown.
  5. Choose Save invoice setup.

How NDIS invoices are checked

  • The first NDIS invoice for each client is held for the office to review. Approve it from Close & invoice → Invoiced but not sent.
  • Later invoices on the same settings are approved automatically.
  • If you change the agreed rate, the next invoice is held again.
  • If no agreed rate is set, the invoice is held with "Set the client's agreed NDIS rate…".
